A cash drawer that opens on command can still create a closing problem. When the POS denomination settings do not match the bills and coins in the till, every shift count takes longer and reported overages or shortages become harder to investigate. Knowing how to calibrate cash drawers gives restaurant operators a repeatable way to align the physical till with the POS system before service begins.

For most restaurant POS environments, cash drawer calibration does not mean adjusting a mechanical component. It means configuring the drawer's opening float, bill and coin denominations, cash transaction workflow, and count procedures so the system reflects what staff actually handle. The process varies by POS platform, but the operational controls are consistent.

What Cash Drawer Calibration Actually Covers

A properly calibrated drawer starts with a known cash float. This is the fixed amount placed in the drawer before a shift, such as $150 or $200, broken into denominations that support normal change-making. The POS should record that opening amount and, where supported, the quantity or value of each denomination.

Calibration also includes the physical setup. Bill slots should hold the denominations staff need most often, coin compartments should be organized consistently, and larger bills or excess cash should follow the restaurant's drop-safe procedure. If one location stores $20 bills in a different slot than another, staff errors become more likely, especially during busy service periods.

The goal is not to force every restaurant into the same float. A coffee shop with mostly small cash transactions needs a different mix than a quick-service restaurant where guests commonly pay with $20 bills. Delivery, drive-thru, bar service, and late-night operations can also change the right opening amount. Calibrate for the cash behavior at that specific register.

How to Calibrate Cash Drawers Before Service

Start the process with a manager or authorized shift lead. Calibration should be completed before the register accepts its first cash transaction, not halfway through a lunch rush.

1. Confirm the drawer and POS connection

Verify that the cash drawer is connected to the correct POS printer, terminal, or drawer interface. Most standard drawers use an RJ-style kick cable connected to a compatible receipt printer, while USB and serial models may connect directly to a workstation or supported interface. Test the drawer-open command from the POS before loading cash.

If the drawer does not open, check the cable, printer port, power status, and POS device assignment first. Do not assume the drawer itself has failed. A printer replacement, terminal swap, or configuration change can leave a working drawer connected to the wrong device.

2. Set the opening float in the POS

Open the POS cash-management or shift-management screen and enter the approved opening float. Some systems require one total amount; others ask for a denomination-by-denomination count. Use the more detailed option when available because it creates a clearer audit trail and speeds up end-of-day reconciliation.

For example, a $200 float might include ones, fives, tens, twenties, quarters, dimes, nickels, and pennies. The exact mix depends on service volume and local payment patterns. Do not enter $200 in the POS if the drawer physically contains $180. That $20 difference will follow the shift and appear as a shortage before the first sale is completed.

3. Match denomination settings to the physical till

Count each denomination and place it in the same compartment used at every comparable register. If your POS supports cash-count templates, confirm that the denominations shown on screen match your local currency and the drawer layout. Remove unused denominations from the template if the system allows it, or train staff to enter zero counts rather than skipping fields.

This step matters when operators use count scales or coin-counting equipment. Those devices rely on accurate denomination selection and, in some cases, the correct cup, tray, or reference setting. A count scale configured for nickels will not produce a useful result if staff load quarters into that compartment.

4. Run a controlled cash transaction

After setting the float, process a small test sale or use an approved training transaction. Tender cash, confirm the POS records the correct amount received and change due, and verify that the drawer opens. Then void or reverse the test according to your restaurant's procedure so sales reporting remains clean.

This test confirms more than drawer operation. It checks the cash tender button, receipt printer, POS permissions, drawer trigger, and basic change calculation. It is much easier to correct a configuration issue before the register is handling a line of guests.

5. Set a cash-drop threshold

Calibration is incomplete if the drawer is allowed to accumulate excessive cash all day. Set a clear threshold for safe drops, such as when the drawer reaches a specified amount in $20 bills or total cash value. The threshold should be practical for the operation and consistent with internal security procedures.

Record each drop in the POS when the system supports paid-outs or cash drops. The physical cash removed from the till must match the recorded amount. Otherwise, a drawer can look short at close even though the money is secured in the safe.

6. Assign accountability for the shift

One cashier per drawer is the cleanest setup for accountability. In high-volume operations, that is not always practical, particularly at drive-thru or front-counter stations. When several employees share a drawer, use unique POS logins and restrict drawer-open access to cash transactions, authorized no-sale openings, and manager functions.

A shared drawer can be calibrated accurately, but it is harder to investigate variance. If your POS supports employee cash banks or cashier-specific sessions, use them. Those controls make it easier to separate training errors, incorrect change, unrecorded paid-outs, and actual shortages.

Calibrating the Closing Count

At the end of a shift, the POS should provide an expected cash amount based on the opening float, cash sales, refunds, paid-outs, drops, and other recorded cash activity. Count the physical drawer by denomination, enter the values into the POS, and compare the actual total with the expected total.

Do not count only the total stack of bills and coins. Denomination-level counts reveal patterns that a single total cannot. A drawer that is short $10 but over by two $5 bills may point to a change-making error. Repeated differences in one denomination can also indicate an incorrect count entry, a misplaced bill, or a staff member using the wrong compartment.

If the count does not match, recount before entering an adjustment. Check for bills under the till insert, cash slips, unrecorded drops, refund receipts, and large bills placed in the wrong slot. Review the shift's no-sale opens and paid-outs where the POS provides that reporting. An adjustment should document a confirmed variance, not replace a basic recount.

Common Problems That Make Drawer Counts Inaccurate

The most common error is changing the physical float without updating the POS. This often happens when a manager adds coins before a busy weekend or borrows small bills from another register. The cash may be present, but the system is now working from the wrong starting point.

Another issue is using a generic opening float across very different stations. A drive-thru register may need more ones and fives than a kiosk support station. A bar may need a higher quantity of small bills during peak periods. Review drawer activity after a few comparable shifts and adjust the denomination mix based on actual demand, not assumptions.

Hardware issues can also affect cash control. A drawer that sticks may encourage staff to leave it unlocked. A loose kick cable can prevent opening at the point of sale. A damaged till insert can cause bills to slide beneath compartments or mix with receipts. Replace worn inserts, verify compatible cables and interfaces, and test drawer operation after POS printer or terminal changes.

Build Calibration Into the Store Routine

Cash drawer calibration works best as a standard opening and closing procedure, not as a fix for a shortage. Keep the opening float consistent, count by denomination, record drops when they occur, and require a closing reconciliation for every active drawer.

For multi-unit operators, use the same count format and drawer layout across locations whenever practical. Standardization makes training faster and exception reporting easier to review. It also helps technical teams diagnose whether a problem is caused by POS configuration, staff process, or a hardware connection.

A cash drawer should support fast service without becoming a blind spot in the operation. When the physical till, POS settings, and shift controls agree from the first transaction, staff can make change confidently and managers have numbers they can act on.
