A receipt printer usually fails at the worst possible time - lunch rush, shift change, or right when a payment line starts backing up. Most receipt printer failures are not major hardware defects. In restaurant environments, the root cause is often simpler: a loose cable, the wrong port assignment, incorrect paper loading, a stale driver, or a network setting that changed after a router swap or POS update. The goal is not to guess. It is to identify whether the issue is power, communication, media, configuration, or the print mechanism itself.
Start with the failure type
Before replacing anything, check what the printer is actually doing. A unit that has no lights at all points to power. A printer with power but no output usually points to communication or driver issues. A printer that feeds blank or faded receipts points to paper orientation, thermal head condition, or media quality. Jams and partial cuts usually point to paper path issues or cutter wear.

If another identical printer is on site, swapping only the power supply is a clean test. If the printer powers up with the alternate supply, you have your answer. If it still stays dark, the internal power circuit may be at fault.
If the printer has power but does not print
This is where connection type matters. Receipt printers in restaurants are typically USB, Ethernet, serial, Bluetooth, or Wi-Fi, though wired USB and Ethernet are still the most common in fixed POS lanes.
For a USB printer, verify the cable is seated and not connected through a faulty hub. A direct connection to the terminal is better for testing. If the POS system recently changed ports or hardware, the operating system may have assigned the printer to a different device path. In that case, the printer can appear installed but still not respond from the POS application.
For Ethernet printers, confirm link lights at the port. No link light usually means a bad patch cable, bad switch port, or a printer NIC issue. If the link is active, the next question is whether the printer still has the expected IP address. Static IP settings often get lost during replacement, reset, or network changes. DHCP environments can also create confusion if the printer receives a new address and the POS still points to the old one.
A quick self-test print is useful here. Most receipt printers can print internal settings by holding the feed button while powering on. If the printer can print its own configuration page, the mechanism is working, and the problem is likely communication or software related.

When hardware seems functional, move to the workstation or POS terminal. First, check whether the operating system sees the printer. If it is missing entirely, reinstalling or correcting the driver may be necessary. If it appears online but jobs remain stuck in queue, clear the print queue and restart the print spooler or the terminal itself.
POS software adds another layer. A printer can work in Windows test print but fail inside the POS because the wrong printer template, paper width, command set, or device mapping is selected. Thermal receipt printers are not all interchangeable at the software level. ESC/POS command compatibility, cash drawer trigger settings, and kitchen versus receipt output profiles all need to match the printer and the role assigned to it.

Paper loading and media errors are common
Thermal printers are simple, but they are not forgiving about paper orientation. If the paper is loaded backwards, the printer may feed normally and still print nothing. That is a basic check, but it gets missed often during busy shifts.
Paper width also matters. If the roll is too wide, too tight, or wound poorly, feeding can become inconsistent. Low-grade paper creates extra dust, increases head contamination, and can lead to faded output over time. In high-volume restaurant environments, media quality affects reliability more than many operators expect.
If the printer reports out-of-paper when a roll is installed, inspect the paper sensor area for debris. Small scraps from torn rolls or adhesive contamination can interfere with detection.
Print quality issues usually point to three things
If receipts are faded, streaked, or partially blank, start with the simplest checks. Confirm you are using thermal paper, not bond paper intended for impact printers. Then inspect the thermal head and platen roller. Grease, paper dust, and adhesive residue from labels stored nearby can reduce print clarity.
Clean the print head with approved materials and let it dry fully before testing. Do not scrape it. A damaged thermal head will not recover with cleaning, and replacing the printer may be more practical depending on age and duty cycle.
Heat settings can also affect output. Some printers allow density adjustments. If receipts are consistently light even after cleaning and with good media, review the print density setting in the printer utility or DIP switch configuration where applicable.
Cutter and jam problems need a mechanical check
Auto-cutter failures are common in busy front-counter and kitchen stations. If the printer prints but does not cut, or if it jams near the exit, power the unit off and inspect the cutter path. Torn paper fragments, greasy buildup, and worn blades can all interfere with operation.
Some printers have a manual release or reset access for the cutter. Use it according to the hardware manual. Forcing a jammed cutter can damage gears and turn a recoverable issue into a replacement event.
If jams keep returning, look at the paper roll and installation angle. A printer mounted awkwardly under a shelf or inside a cramped station can feed poorly even when the mechanism is fine.
Networked printers need stable addressing
For Ethernet and Wi-Fi models, intermittent printing usually means the printer is dropping off the network or the POS cannot reliably find it. Static IP assignment is often the better fit for restaurant operations because it reduces surprises after reboots or network maintenance.
If the printer responds sometimes but not consistently, check for IP conflicts, weak wireless coverage, or switch issues. Receipt printers do not generate heavy traffic, but they are sensitive to unstable network conditions when tied to time-critical POS workflows.

When to repair, replace, or keep spares
There is a point where troubleshooting stops being the best use of time.
