A receipt printer is easy to ignore until a lunch rush turns one failed print into a line at the counter. Receipt printers for restaurant operations have a simple job, but they sit at a critical point between payment, order confirmation, pickup, and closeout. The right unit prints clearly, cuts reliably, connects to the POS environment you already use, and can be replaced without rebuilding the counter.
For quick-service restaurants, cafés, bars, full-service dining rooms, and takeout counters, printer selection should begin with the workflow. A compact USB printer that works well at one register may be the wrong choice for a multi-station operation with handheld payments, online orders, and a separate pickup counter.
Start With Where the Receipt Is Printed
Front-counter receipt printing and kitchen ticket printing are related, but they are not the same purchase. A customer receipt printer is usually a thermal printer placed beside a POS terminal, cash drawer, or payment device. It produces receipts quickly, quietly, and without ink or toner. Most restaurant counter receipts use 80 mm thermal paper, though smaller 58 mm models are common for compact terminals and mobile applications.
At the counter, the printer may print a payment receipt, order summary, refund record, gift receipt, or duplicate copy for the customer. In a bar or full-service setting, it may also print a guest check before payment. The operational priority is speed and legibility, especially when staff need a receipt immediately after a card transaction.
Kitchen printers have different demands. Heat, grease, moisture, and continuous ticket volume can make a standard counter printer a poor fit. A thermal kitchen printer can work in a cleaner expo area, but an impact printer is often better near fryers, dish areas, or high-heat equipment. Impact printers use ribbon and plain paper, producing durable tickets that remain readable when exposed to heat and moisture. They are louder and slower, but those trade-offs can be worthwhile for back-of-house use.

Choose the Right Receipt Printer Connection
The connection type determines how the printer fits into the restaurant POS setup and how difficult it will be to support later. Compatibility is not just about whether a cable fits. The POS software, operating system, printer driver, command language, and network configuration all matter.
USB for a Single Fixed POS Station
USB is a practical choice when a printer connects directly to one Windows terminal, tablet stand with a compatible hub, or all-in-one POS system. It is straightforward to install and avoids network configuration. The limitation is physical: the printer is tied to that host device. If the terminal fails or moves, the printer connection moves with it.
USB works best for a small counter setup where one POS terminal owns one receipt printer. Confirm that the terminal has enough available ports for the printer, cash drawer interface, scanner, and any other peripherals.
Ethernet for Shared or Multi-Station Printing
Ethernet receipt printers connect to the local network and can be assigned to a specific POS station, service area, or order type. This is usually the better option for restaurants with multiple terminals, a manager workstation, several service counters, or centralized IT support.
A network printer needs more planning, but it is easier to position where it is operationally useful instead of where a USB cable reaches. For dependable operation, use a wired network connection rather than relying on wireless bridging at a fixed counter. Assigning a reserved IP address also prevents a printer from changing addresses after a reboot or router update.
Network capacity matters when receipts, online-order tickets, and kitchen tickets all share the same infrastructure. The printer does not need much bandwidth, but it does need stable connectivity and properly configured switches, cables, and power.
Serial, Bluetooth, and Other Legacy Requirements
Serial interfaces remain common in older POS installations and specialized hardware environments. A replacement printer must match the port type and communication settings, such as baud rate, parity, and data bits. Replacing a serial printer with USB or Ethernet may require a POS configuration change, adapter, or new cable.
Bluetooth is useful for some tablet-based and mobile POS setups, but it is less attractive for permanent high-volume stations. Pairing issues, device range, and staff movement can create problems that a wired connection avoids. For a busy fixed checkout lane, wired USB or Ethernet is usually the more predictable choice.
Paper Width, Print Speed, and Daily Volume
Most restaurant receipt printers use 80 mm paper because it provides enough width for itemized orders, modifiers, taxes, payment details, and promotional messaging. The wider format is easier for customers to read and gives the POS system room to print a logo or barcode where required. A 58 mm printer saves counter space and paper but may create cramped receipts or force the POS software to use a narrower layout.
Print speed affects more than appearance. At a low-volume café, a moderate-speed printer may be sufficient. At a quick-service restaurant with consecutive card payments, drive-thru orders, and delivery pickups, delays of a few seconds per receipt become noticeable. Faster thermal printers reduce waiting at the point of payment and help staff close transactions without watching a receipt slowly feed out.
Look at the busiest 15-minute period, not the average day. A printer that handles 30 transactions before lunch may struggle when it must produce payment receipts, reprints, and online-order documentation during a sustained rush.
Auto-cutter performance is equally important. A printer that prints correctly but fails to cut receipts creates a small interruption on every transaction. Select a unit rated for commercial use, with an auto-cutter designed for expected volume. Keep paper rolls sized to the printer specification and avoid low-grade thermal stock that produces excess dust or weak print quality.
Confirm POS and Cash Drawer Compatibility
A receipt printer can be physically connected and still fail at the point of sale if it does not support the required driver or printer command set. Many restaurant systems use ESC/POS-compatible commands, but compatibility should never be assumed based on the printer category alone. Confirm the exact model is supported by the POS provider or that the POS can print through the intended operating system and interface.
This matters most with cloud POS platforms, Android terminals, iPad-based systems, and proprietary payment environments. Some systems support only approved network printers. Others require a local print service, dedicated hub, or manufacturer-specific driver. Before placing an order, verify the POS application, device type, operating system version, connection method, and required receipt width.
The cash drawer also needs attention. Many drawers connect through an RJ11 or RJ12-style port on the receipt printer, allowing the POS to trigger the drawer after a cash sale. The connector can look familiar while using different pin assignments, so verify drawer compatibility instead of forcing a cable into place. A mismatched drawer kick cable can prevent the drawer from opening or damage equipment.
Build for Serviceability, Not Just Installation
Restaurant hardware is exposed to spills, vibration, paper changes, cleaning routines, and staff turnover. A good printer choice includes a plan for basic service. The paper compartment should be easy to access during a rush. Status lights should be visible. Replacement rolls should be standard inventory, not a special order item.
Keep a tested spare printer for high-revenue stations when downtime is costly. This is particularly useful for drive-thru counters, busy bars, and locations where the printer controls the cash drawer. A spare does not need to sit unused indefinitely: standardizing on the same model across similar stations makes it easier to rotate equipment, retain common power supplies, and train staff on one loading procedure.
Document the printer name, IP address for network units, port assignment, paper width, and POS configuration. That information turns a replacement from a troubleshooting project into a controlled swap. For installations with several devices, label power supplies and cables as well. Match the Printer to the Restaurant Workflow
The least expensive receipt printer is not always the lowest-cost option. A model that lacks network support, has an unsuitable paper width, or is difficult to replace can cost more in lost service time than it saves at purchase. Conversely, a high-speed enterprise printer may be unnecessary for a single-terminal location with light transaction volume.
Buy based on the actual station: counter, bar, pickup shelf, drive-thru window, host stand, or kitchen expo.
